At Medivendors, we stand behind the quality of our services. This Return Policy outlines our approach to service cancellations, refunds, and dispute resolution. We aim to make every engagement transparent and fair.
1. Service Satisfaction Guarantee
Medivendors is committed to delivering exceptional revenue cycle management, medical billing, and digital marketing services. If at any point you are not satisfied with the quality of our services, we encourage you to contact your dedicated account manager or reach out to us at info@medi-vendors.com so we can address your concerns promptly.
We believe in earning your trust through consistent results, which is why we offer flexible engagement models without long-term contracts for most of our services.
2. Service Cancellation
You may cancel our services at any time by providing written notice to your account manager or by emailing info@medi-vendors.com. Cancellation terms vary by service:
- Monthly billing services: 30-day written notice required
- Digital marketing campaigns: 30-day written notice; active ad spend commitments will be honored through the current billing cycle
- Credentialing services: Services in progress will be completed through the current stage; no refund for completed work
- Staffing services: Terms as specified in your staffing agreement
Upon cancellation, we will ensure a smooth transition of all records, files, and documentation back to your practice or to a new vendor of your choice.
3. Refund Policy
Refund eligibility is determined on a case-by-case basis and depends on the nature of the service:
- Setup Fees: Setup fees are non-refundable once onboarding has commenced, as they cover the cost of system configuration, staff training, and initial data migration.
- Monthly Service Fees: If you cancel within the first 30 days of service and we have not met the agreed-upon service level targets, you may be eligible for a prorated refund of the current month's service fee.
- Prepaid Services: Any prepaid but unused service credits will be refunded on a prorated basis.
- Digital Marketing Ad Spend: Third-party advertising costs (Google Ads, Facebook Ads, etc.) that have already been spent are non-refundable, as these funds are paid directly to the advertising platforms.
To request a refund, please contact us at info@medi-vendors.com with your account details and reason for the request.
4. Service Level Commitments
Medivendors is committed to maintaining high service standards. Our standard service level commitments include:
- Clean claims rate target of 95% or higher
- Claims submission within 24-48 hours of receipt of complete documentation
- Denial follow-up initiated within 48 hours of notification
- Dedicated account manager response within 4 business hours
- Monthly performance reporting delivered by the 5th of each month
If we consistently fail to meet these service levels, you may be eligible for service credits or fee adjustments as outlined in your service agreement.
5. Dispute Resolution
If you have a concern about our services or a billing dispute, we encourage you to follow these steps:
1. Contact your dedicated account manager to discuss the issue directly
2. If unresolved, escalate to our client services team at info@medi-vendors.com
3. Our management team will review the matter and respond within 5 business days
4. If the dispute remains unresolved, both parties may agree to mediation or arbitration as specified in the service agreement
We are committed to resolving all disputes fairly and promptly.
6. Data Transition Upon Cancellation
Upon cancellation of services, Medivendors will:
- Provide a complete export of all billing data, reports, and documentation within 15 business days
- Assist with the transition to a new billing provider at no additional charge for basic data transfer
- Maintain your records securely for 7 years in compliance with healthcare record retention requirements
- Delete or anonymize any non-required data upon written request, subject to legal and regulatory obligations
